Digital Post is Denmark’s national public-sector solution for secure digital communication between public authorities, citizens, and businesses. Both the platform itself and the messages sent through it are referred to as Digital Post.

Digital Post aims to support and strengthen public services for citizens, businesses, and public authorities. It enables secure communication between public-sector institutions – such as municipal, regional, and state authorities – and their recipients.

When a new business is registered in the Danish Business Register (CVR), it is automatically enrolled to receive Digital Post from public authorities. By law, businesses are required to read the Digital Post messages they receive through the system.

In addition, each newly registered business receives a physical letter from the Danish Agency for Digital Government, instructing it to log in to a Digital Post platform like Virk, e-Boks, mit.dk, or the official Digital Post app.

You choose freely whether you want to read Digital Post on Business in Denmark and Virk or on e-Boks, mit.dk or in the Digital Post app. Digital Post from public authorities is available on all platforms. If you want to read post from private companies, you have to use e-Boks and mit.dk.

To access a company’s Digital Post, the company must have established either MitID Erhverv or MitID Privat, and a Rights Administrator (in Danish a ‘Rettighedsadministrator’ which is the admin that handles user privileges) must be appointed.

The company’s legal status determines which type of MitID it can use and how a user-privileges admin (Rettighedsadministrator) is assigned.

When a company logs in to a Digital Post platform, it is redirected to the Rettighedsportal for Digital Post (the website for user privileges administration), where an employee is designated as a Rights Administrator. Once appointed, the Rights Administrator can log on to any Digital Post platform and read, send and manage messages from public authorities.

Companies using MitID Privat (for example a sole proprietorship) are automatically assigned a Rights Administrator, who can log on to the Digital Post platforms and read messages from public authorities.

What can a Rights Administrator do?

In Rettighedsportalen, a Rights Administrator can:

• Grant themselves and other employees' access and permissions to Digital Post messages and portals, the Rights Portal, and Administrativ Adgang (the website used to manage an organization's Digital Post settings and permissions).

• Authorize other companies or private individuals to access the company’s Digital Post.

You can give employees and/or external collaborators access to your business’ Digital Post. It is your Rights Administrator that can give access in the Rettighedsportal for Digital Post.

Permissions or accesses previously granted to employees, private individuals or companies can always be revoked. This is managed through the Rettighedsportal for Digital Post.

When granting access, it is also possible to set an end date, ensuring that the access is automatically removed.

To read a company’s Digital Post, a Rights Administrator must be appointed. Without a rights administrator, the company cannot access its Digital Post.

Do you not have a Rights Administrator?

It is the company’s legal status and along with the MitID type that determines how a Rights Administrator is assigned.

• Companies using MitID Erhverv must log in to the Rettighedsportal, where a process is completed to designate an employee as Rights Administrator. Once appointed, the Rights Administrator can log in to any Digital Post platform, read messages from public authorities, and grant access and permissions to other employees.

• Companies using MitID Privat automatically receive access to Digital Post and do not need to use the Rettighedsportal. Access is activated when they log on to a Digital Post platform. 

When a new Rights Administrator is assigned, they automatically receive access to Digital Post, enabling them to read, send, and manage messages from public authorities. At any time, they can opt out of the automatically assigned permissions (basic and advanced access) in the Rights Portal.

A receiver system allows you to receive you business’ Digital Post from public authorities in to your own systems, instead of reading it at Virk, e-Boks or mit.dk. This happens through an integration to the Digital Post-solution.

A receiver system often works as an add-on to for instance Outlook or a filing-system. It is often well-established organizations that utilize a receiver system for sorting and organizing all their post in a single system.

It is possible to configure a receiver system that automatically forwards Digital Post to your business’ filing or mail system. This also allows for the mail being answered in the business’ own system.

You can configure a receiver system in ‘Administrativ Adgang’, but we recommend that you configure in close dialogue with your system supplier.

Email and SMS notifications

To receive notifications by email or SMS:

1. Log in to Digital Post on virk.dk

2. Go to Settings → Notification of new post

3. Add your email and/or mobile number and click 'Sign up'

4. Confirm the registration 

Important notes:

• The first SMS is sent at least two hours after the post is delivered

• No notification is sent if the post has already been opened

• Notifications do not contain clickable links

Push notifications (via app)

You can receive push notifications through the Digital Post app, the e-Boks app, or the mit.dk app. To enable push notifications:

1. Open the app and log in

2. Go to Menu → Settings → Notifications

3. Turn on notifications

4. Choose when to receive them

You can also sign up for NemSMS (SMS reminders from authorities)

NemSMS allows public authorities to send you SMS reminders (e.g., appointments). You can sign up even if you are exempt from Digital Post. To sign up:

1. Log in to Mit Virk on virk.dk

2. Go to 'Company information'

3. Select NemSMS mobile number

4. Add your mobile number, accept the terms, and click 'Sign up'

Please note that you must have 'advanced access' (avanceret adgang) in Rettighedsportalen to manage this setting.

Should you choose to close your business, your corresponding NemID employee signature will also be closed.

Before you close your business remember to:

1. Check your business’ Digital Post the entire period. Public authorities will continue to send Digital Post to your business right up until the date of its cessation.

2. Empty your business’ Digital Post of messages by either forwarding them, printing them out or saving them locally and deleting your inbox afterwards.

If a business declares bankruptcy or if the owner dies, all access to the business’ Digital Post will be blocked. This is done, in part, to prevent the employees of the business from logging in and, in part, to ensure that an appointed curator subsequently can have a read-only-access to the business’ Digital Post. Should the status of the business changed from bankrupt to active status in the CVR-registry then the automatic block is reversed.

Messages can still be sent to the business’ Digital Post, but notifications regarding new mail will cease. Likewise, receiver systems will cease receiving messages.

Businesses under compulsory dissolution, voluntary liquidation or reconstruction without its management’s consent will automatically be partially blocked from receiving mail.

This means that the mail in Digital Post can not be moved or deleted, but can only be read. The business will receive a message at the email-address listed in on the business’ profile in Digital Post, when it becomes partially blocked from receiving mail.

The partial block is only liftedOnly when the business is no longer is listed as being under compulsory dissolution, voluntary liquidation or reconstruction in the CVR-registry will the partial block be lifted.

If you want to apply for an exemption from Digital Post due to your company’s broadband connection, you need to contact your municipality’s citizen service center (borgerservice).

You will need to send a form through letter mail directly to (Erhvervsstyrelsen) if you wish to apply for exemption due to disability or incarceration.

If you want to get exempt due to disability or prisontime you need to submit a form and send it to the Danish Business Authority.

Cessation of exemption

An exemption from Digital Post will always cover a period of at most two years and will always expire on November 1 of the year of expiration. If the exemption has to last more than two years, a new application must be submitted. Prior to the expiration-date of the exemption, you will receive a reminder by mail at your business’ physical address.

A business can always cancel its exemption by logging in to their Digital Post or getting help at its municipality’s citizen service center (borgerservice).
